Our client is a one of the renowned Japanese leading MNC firm.

The Office Manager is responsible for the full spectrum of general office operations and administrative functions. This role also involves management of the administration employees including receptionist and office assistants.

Job Description

We are currently looking for a Office Manager to:

1. Manage the administrative function of general office and be recognized as the main contact for smooth administration and office operation.
2. Manage, delegate and assign works to the administration section employees including office assistant and receptionist (where applicable) .
3. Manage Office Room booking system, coordinate Office Meeting room logistics and Office Security system.
4. Partner with IT department on all office equipment maintenance and access card arrangements.
5. Partner with Finance to provide assistance on statutory filing and managing the logistics for signing and sending secretarial documents to relevant parties.
6. Partner with Finance to provide assistance to external parties on corporate secretarial related matters.
7. Partner with HR and Quality & Safety departments for first aid and emergency evacuation policy and procedure.
8. Partner with Quality & Safety department for Workplace Health and Safety policy and procedure.
9. Prepare budget for administrative section and building maintenance, repairs, etc.
10. Handle various office expenses whilst manage within budget guidelines.
11. Provide logistics support for visiting guests.
12. Assist on company-wide projects (e.g. Central Filing system) .
13. Perform other related duties as required or assigned.

Requirements

Our client needs someone with the following skills:

1. Ensure building is secured, maintained and running smoothly to ensure a safe, functional space for working and are in compliance with all applicable local’s laws and regulations.
2. Handle suppliers sourcing, maintenance repair, office environment upgrade, building management and manage relationship and liaison with various vendors and service providers.
3. Liaise with contractors and make sure maintenance services are carried out regularly to comply with regulations.
4. Keep track of maintenance contract of services for the building.
5. Point of contact and handling for any office moves, renovation of current premises, space utilization and seating arrangements of employees.
6. Administer company’s season parking scheme and manage parking facility.
7. Ensure that company’s vehicle is efficiently managed and maintained.

Key Requirements
• Diploma / Degree in Management, Business Administration.
• Minimum of 5 years of administrative and operational support experience, preferably with prior experience as an office manager or office administrator.
• Someone from manufacturing firm or MNC is advantage.
• Strong organizational skills and attention to detail.
• Ability to manage multiple projects, priorities work load, initiate projects to create new efficiencies, and effectively manage time while meeting deadlines.
